Zoho CRM

In health tourism, an agency brings the inquiry but does not manage the patient's journey for the clinic. Responsibility for the interval between the first contact and the patient's return belongs to the clinic. When that interval has no owner, even effective demand generation dissolves into scattered messages. A Zoho setup should make the clinic's own operational layer visible and consistent, not take over agency work.

This layer cannot depend on one employee's memory. The team needs a defined owner for the response, clear information requirements for each stage, and follow-up that stops when the patient replies. The objective is not to create more reminders. It is to connect ownership, controlled transitions, and response-aware communication in one operating model that the whole team can understand and apply consistently.

Where the agency's work ends

The agency delivers an inquiry directed to the clinic. Understanding the patient's needs, preparing an offer, arranging travel details, and coordinating the operation belong to the clinic team after that delivery. If this boundary remains vague, the arrival of an inquiry may look like completion, while no specific role or operating routine takes responsibility for whether the patient advances through the journey.

An inquiry arrives at midnight. In the morning, three people see the same message, and each assumes someone else has replied. By the afternoon, the patient is asking another clinic for a price. The failure is not an absence of demand. It is the absence of a shared rule showing who owns the inquiry and who is responsible for the first contact.

The five stops in the operational layer

The first stop is response: someone owns the inquiry, understands the need, and begins communication. The offer stop clarifies scope and commercial content. Travel brings transport, accommodation, and reception information together. Operation represents preparation inside the clinic. Return makes the ownership and current status of communication after the patient leaves visible to everyone who needs to continue the relationship.

Each stop must pass more than a name to the next. Needs move from response to offer, the accepted scope moves from offer to travel, and organization details move from travel to operation. After the operation, the team continuing communication needs the earlier context. The aim is not five separate task lists, but an uninterrupted transfer of responsibility and information across one journey.

Do not leave response ownership to attention

Ownership can be determined when a record is created, but the entry channel matters. A Zoho assignment rule runs for records created through import, web form, or API. It does not run when a record is created manually. A record that matches no assignment condition goes to the default user rather than remaining unowned. The team therefore needs a written ownership routine for manual entries.

When first contact requires several steps, Cadences can combine email, task, call, and WhatsApp follow-ups in one sequence. It removes the record from that sequence when a reply arrives. The audience can be selected manually or taken from a custom view, but that view cannot contain related-module criteria. Follow-up continues without sending unnecessary planned steps to someone who has already responded.

Keep stage transitions controlled

A Zoho Blueprint is built on one module, one layout, and one primary field. That field can represent the patient's shared journey position. It can be updated only through Transition API, Workflow API, a workflow custom function, a workflow field update, or a Command Center field update. Management of the process field is therefore confined to those defined update channels.

Every Blueprint transition has Before, During, and After sections. Before identifies eligible users and the criterion for showing the transition. During can request fields and include a checklist, note, attachment, tag, or widget. After can define an email notification, task, meeting, call, field update, record creation, webhook, custom function, tag, or conversion action following the transition.

When the process runs in Blueprint, information needed for a transition belongs in During. A validation rule runs during manual record creation and editing, while field changes made through import, workflow field update, approval process, Blueprint, or API take precedence over it. Keeping transition requirements in the same During configuration avoids dividing one information checkpoint between the transition and a separate validation assumption.

The gap between offer and travel

Price acceptance does not mean the journey is ready for travel. The patient has boarded a flight, but the hotel is recorded in one conversation, the assigned physician in another, and the person providing reception exists only in one employee's phone. That employee is on leave. The gap comes from failing to define the information handover between commercial acceptance and operational preparation.

The Quotes module in Zoho is available from Professional upward. A quote product line is a subform. Customizing that line is available only in Enterprise and Ultimate, with up to ten additional fields. Information required before moving into travel can be requested in Blueprint During. Commercial acceptance and travel readiness can therefore remain separate checkpoints, with the information review placed between them.

Post-operation follow-up stops on reply

When communication after return consists of unrelated reminders, the patient's response does not by itself make the remaining reminders appropriate. Cadences addresses this distinction by removing a responding record from the sequence. Email, task, call, and WhatsApp steps can form that follow-up. Stopping planned contact when a response arrives becomes part of the operating design, alongside the responsibility to continue contact when no response exists.

The audience can be chosen manually or through a custom view, although that view cannot use related-module criteria. The complete list of supported modules cannot be assumed here, so the design is finalized only after confirming the intended module. Eksenium's Clinical CRM Pattern Library includes the hasta-kabul, lead-formu, and tedavi-planlayici patterns as visual references for this topic. They are unpublished on eksenium.com and are not evidence of live use.

Measure waiting time at each stop

A report does not automatically calculate how long a record stayed in a stage. When duration visibility is required, history tracking must be enabled on the picklist field carrying the stage. The duration column is held in the related list for that history. Interpreting waiting time at response, offer, or travel therefore begins with configuring the correct measurement source rather than assuming the report derives it.

History tracking can be enabled for only one picklist field per module and is unavailable in the Tasks, Calls, and Meetings modules. Its data is deleted when the edition is downgraded. The Stage component is limited to Enterprise and Ultimate. The team should therefore choose the stage field to track and consider the effect of any edition change before relying on that history for measurement.

Edition thresholds and a practical starting point

Blueprint is available in Professional and above. Professional allows three Blueprints, ten transitions per Blueprint, and four fields in During. Enterprise allows twenty Blueprints, one hundred transitions, and ten fields. Ultimate allows one hundred Blueprints, three hundred transitions, and fifty fields. A single state can have no more than twenty outgoing transitions, regardless of the broader edition limits.

Cadences is available from Standard upward and is absent from Free. Created and active follow-up limits are twenty and ten in Standard, forty and twenty in Professional, sixty and thirty in Enterprise, and seventy and fifty in Ultimate. Quotes starts with Professional, while product-line customization requires Enterprise or Ultimate. Below these thresholds, the clinic can begin with written routines for ownership, information handover, and manual follow-up.
