Zoho CRM

Implementing a CRM does not mean abandoning a bookkeeping routine that has worked for years. With a clear boundary, Zoho CRM can hold commercial relationships, sales activity, and quotations while accounting records remain in the existing system. The central decision is not how to disguise two records as one. It is where each piece of information belongs and which process owns it.

This separation does not make integration unimportant. It makes the bridge a distinct scope item whose direction, fields, failure handling, and limits must be written before implementation. A quotation or invoice visible in CRM does not mean that an accounting record has appeared automatically. A sound scope treats data exchange as measurable work instead of assuming that accounting will move with the sales process.

Why accountants resist another screen

An established accounting routine is more than an interface preference. Month-end work, document checks, cooperation with the external accountant, and the division of responsibility develop around that routine. If the CRM project has no reason to change it, imposing another accounting screen introduces unnecessary uncertainty. Better organisation for the sales team does not depend on changing the accountant's working method at the same time.

At month end, the accountant asks for the same month's list twice: once from sales activity and once from issued documents. When the lists differ, the dispute concerns which date governs, not whether the arithmetic is correct. This representative situation shows that the sources serve different purposes. The answer is to define date and record ownership clearly, rather than merging their screens.

A CRM invoice is not an accounting invoice

Zoho CRM includes quotations, sales orders, invoices, and purchase orders among its standard inventory modules, but they open only in Professional, Enterprise, and Ultimate. These records organise the CRM side of a commercial relationship. Seeing an invoice there does not establish that the same record exists in the accounting system or that the records on both sides are a single shared object.

Even with Zoho's own finance applications, the CRM's native inventory modules and the submodules created by the integration remain independent and do not synchronise with each other. A CRM invoice and its accounting counterpart are therefore separate records. Project scope cannot assume that a change in one will happen automatically in the other. The connection and the required module permissions must be defined separately.

Choose the bridge direction first

A webhook is a one-way mechanism that sends notifications out of Zoho CRM; it does not retrieve data from another application. One workflow rule can use no more than six webhooks, with one immediate and five scheduled. A call carries at most ten fields. Only ports 80 and 443 are supported, and a failed call receives one further attempt after fifteen minutes.

The incoming path must therefore be designed separately and treated as API traffic. API credits depend on edition and user count within a twenty-four-hour window, so traffic between the systems is not unlimited. The scope should distinguish events that send outbound notifications, data that comes inward, and the credit demand of each path. Webhook use also requires the Manage Workflow permission.

Limits of calculated values in CRM

A workflow field update does not calculate an amount. It writes either a predetermined fixed value or an empty value to the selected field. A formula field is read-only and recalculates when participating fields change, so it cannot freeze an amount at a particular date. A newly created formula may remain empty on existing records until a participating field changes. Formula fields require Professional or above.

A clinic manager applies a discount on the quotation screen and assumes the accounting amount has changed too. The missing change is discovered at month end, leaving correction to the memory of the only person using both systems. This representative situation shows that a calculation displayed in Zoho is not evidence of transfer. CRM calculations cannot simply be treated as accounting records.

Before asking reports about rates and totals

For a multi-currency account, report, analytics, and forecast totals use the rate stored on the record, not today's rate. The exchange-rate field also follows a counterintuitive direction: it shows how many units of the record currency equal one unit of the home currency. The basis of a total must therefore be checked against the rate on the record, not inferred from the report alone.

Report exports have ceilings as well. A formatted export provides at most 2,000 rows, while a detailed export reaches 50,000 rows, with a daily organisation limit of 50,000 records. Daily detailed-export allowances are zero in Free, 300 in Ultimate, and 200 in other editions. A file prepared for an accountant is shaped by export format and allowance as well as its visible total.

Treat transfer as a personal data decision

Enabling an integration transfers the selected personal data to a third party. The product manages this through a separate restriction control, and restricted fields are not sent to the other side. This moves scope discussion beyond technical field mapping. Each field should be assessed for genuine necessity in the accounting process, with only required data included in the bridge. Manage Compliance Settings permission is required.

This mechanism does not establish compliance with any law by itself. The organisation's legal and data stakeholders determine the fields, recipients, and purposes through their own assessment. The technical team then translates that decision into a field list and restriction setting. This keeps operational connectivity separate from institutional acceptance of the transfer and makes the data scope visible before implementation begins.

Write the bridge as separate work

The bridge scope should state which field travels in which direction after each defined event. It should also identify the owner of a failed call, the check performed after the retry, and the method used to compare separate records. A webhook's one-way direction, ten-field call ceiling, and supported ports directly shape the design. Independent records require explicit responsibility, not an assumed synchronisation.

The edition table belongs in that scope. Quotations and invoices require Professional or above. Adding custom line-item fields raises the threshold to Enterprise or Ultimate. A line can receive at most ten fields, a layout at most ten aggregate fields, and the system-defined product name cannot be removed. Custom functions require Enterprise. Multi-currency is unavailable in Free; its exact paid entry tier must be verified in the customer's Setup screen.

Daily webhook limits are stated in two forms: 50,000 calls or 100 per user in Professional, 500,000 or 500 per user in Enterprise, and 1,000,000 or 1,000 per user in Ultimate. The twenty-four-hour API allowance is 5,000 in Free. Standard has 50,000 plus 250 per user; the per-user additions are 500 in Professional, 1,000 in Enterprise, and 2,000 in Ultimate. Written beside direction, field count, and expected traffic, these limits make the bridge an auditable delivery.

What changes after the boundary is clear

When the accounting system stays in place, the accountant's main screen does not change. What changes is the definition of information arriving from sales. CRM inventory modules carry commercial records in Professional, Enterprise, and Ultimate, but they do not replace accounting records. This boundary removes the burden of rebuilding both systems and focuses the decision on which process owns each record.

The final decision belongs within a shared scope for management, sales, accounting, technical staff, and data stakeholders. Record ownership comes first, followed by direction, field list, edition threshold, limits, and responsibility for errors. Accounting can then remain in place while the CRM performs its commercial role, and the bridge becomes a separately defined work item instead of an invisible assumption.
