Zoho CRM

At eight thirty, the first tab opened is the calendar. Messaging comes next, followed by the accounting folder. All three describe the same day, yet none knows what the others contain. The morning begins with one person connecting those fragments. A management screen should turn scattered questions into a clear basis for the day’s first decisions at opening.

At closing time, someone asks which proposal received no answer. The only person who knows is the adviser away that day, and the information sits somewhere nobody else can see. A morning screen built in Zoho is more than a polished dashboard. It places today’s schedule, pending proposals, and unanswered requests in context while separating visibility from alerting.

Where the first twenty minutes go

The clinic owner’s morning screen begins by defining the decision moment. Who is arriving today, which proposal awaits a response, and which request remains unanswered? When answers sit with different people or in separate files, the manager starts by reconstructing the situation. It creates value by framing the day’s first decisions.

Disconnected information sources carry different operational contexts, so the problem is not only time. Arrival details, conversation history, and the commercial record lose their relationship when stored separately. If the manager must reconstruct that relationship mentally, the process depends on personal memory.

Every element on the morning screen should serve a specific management question. A number added merely because it is available lengthens the decision path. Define the question first, then the required answer and the record holding it. This preparation turns the screen from a general summary into daily management’s starting point.

The screen’s three building blocks

In Zoho, a customized Home Page is prepared in setup. Dashboard components, custom views, Kiosk, reports, Voice of the Customer, open activities, rich text, and quick links can be dragged onto it. Setup requires Modules Customization profile permission. The page can then be shared by role, profile, user, group, or territory.

A user can have no more than ten home pages, with five associated with roles and five with profiles. Classic View has three fixed components and cannot be customized. The Manager’s Home Page is available to roles except users without subordinate roles. These limits may require pages designed around access context.

A list component on the Home Page has no independent column arrangement. Its columns come from the connected custom view. When those columns are edited in the view, the Home Page component changes too. Maintaining the morning list therefore requires attention to both the page and its source view’s structure and purpose.

Why the list will not alert you

A custom view fills automatically with records matching its criteria. Automation does not place a record there; it appears because it meets the conditions. The view sends no notification, creates no task, assigns no owner, and produces no reminder. Showing a request and alerting its responsible person remain separate design decisions.

Zoho provides nine bulk actions that begin only after a user clicks: running a macro, creating tasks, adding or removing tags, mass conversion, mass email, setting reminders, changing owners, mass mail merge, and mass update. Their presence does not make them automatic; every operation waits for deliberate user action in list.

When a reminder is required, its mechanism remains separate from the list. One option is a workflow rule triggered by a date field. Another is a Cadences sequence that removes a record when a response arrives. Cadences can organize email, task, call, and WhatsApp follow-ups. The list cannot serve as trigger.

Dashboard components available in each edition

Zoho dashboard options depend on edition. Standard and Professional can create Chart and KPI components. Comparator, Anomaly Detector, Target Meter, Funnel, Cohort, Quadrant, Zone, and Stage require Enterprise or higher. A dashboard can hold no more than twenty components, making careful selection essential for a screen guiding daily morning management decisions.

A dashboard filter can use only User, Date, Date Time, and picklist fields, and works only in the Analytics tab. A component filter accepts no more than two fields. A dashboard-level filter affects only components from the relevant module. The same selection should not be assumed to change every displayed figure.

Creating a dashboard presentation requires Enterprise or higher and works only in certain data centers. Edition name alone does not establish availability. If presentations are not central to the morning screen, keep its decision design independent of that feature until both the edition and data center conditions have been checked separately.

Label what each number actually counts

When the main module and a related module appear in one analytical component, Count of may not count main records. It counts rows created by the relationship. If one main record has several related rows, the displayed figure can be higher than expected. The result reflects the selected measure’s counting level.

When the true number of main-module records is needed, Count of Unique is appropriate. Related rows then do not repeatedly enlarge the same record. If the screen says “number of pending records,” it should identify whether the component uses Count of or Count of Unique, rather than leaving meaning to guesswork.

This distinction matters when a list and dashboard are read together. The list may display main records while the analytical component counts related rows, so the figures need not match. Explain the measure’s scope beside the component itself. Users can then recognize when the same term refers to different calculation levels.

Sharing the screen does not solve privacy

Zoho dashboard sharing does not override field permissions. A user who cannot view a field cannot see a component based on it. Opening a page to a role or profile does not make all content visible. Fields feeding each component remain part of sharing design.

Reports differ. A report is not a privacy layer: users can see every record accessible in its primary module. Parent or child module fields may appear without direct access. A related module containing sensitive fields is not safe merely because dashboard sharing looks properly restricted.

For morning screen’s audience, examine two questions separately: who can open the page, and which fields may appear? Field permissions constrain dashboard components, but reports do not provide the same function. Privacy cannot be delegated to a report. Narrow modules and fields before sharing.

Three questions before building the screen

Start with three questions: who is arriving today, which proposal is waiting, and which request remains unanswered? A custom view can show relevant records. A report or dashboard can summarize proposals, while another criteria-based view exposes unanswered requests. Views display records, not alerts themselves.

Connect every answer to a reliable field before designing. Build view criteria, a report, or a dashboard filter from that field. Dashboard filters accept only User, Date, Date Time, and picklist fields within this established operating pattern. An answer not stored in an identified field should not become definite indicator.

The documentation states no separate edition threshold for a customized Home Page, so it varies by edition and is verified in the target account before a proposal; Modules Customization permission is required. Chart and KPI begin with Standard, while the other named dashboard components begin with Enterprise. Dashboard presentations require Enterprise or higher and an eligible data center. Cadences starts with Standard and is absent from Free. Eksenium’s counterpart is the yonetici-cockpit pattern in its Clinical CRM Pattern Library. The pattern sits in a private preview running on representative data; it does not show live clinic use and is not presented as a running customer installation.
