Starting with a free CRM may cover contacts and opportunities, but it proves neither low total cost nor long-term fit. The decision becomes clearer when user access, data structure, automation, and reporting needs emerge. A Zoho CRM and HubSpot comparison should begin with validated requirements and edition thresholds.

A sound assessment goes beyond feature names. For each requirement, record the necessary edition, user type, capacity, and scope source. This shows where free use requires paid coverage and prevents unlike relationship or licensing structures from appearing equivalent. The result is a decision map for purchase-date verification.

A free start does not prove a cost advantage

Free coverage can support basic CRM activity, but it does not define the operating model. New thresholds appear when headcount rises, standard data structures fall short, or repeatable follow-up is required. Compare the edition meeting each requirement instead of treating the starting price as evidence of lasting fit.

The team tries to add a fourth person to its free account, but the screen rejects the user. That week, management requests a report combining two modules and finds the required field missing from standard fields. User capacity, data structure, and reporting needs must be assessed before judging the start.

Each decision row should state an operating need: who requires full access, which records must be stored, which follow-ups recur, and what management must see. Then compare only editions meeting those requirements. Treating free status as proof of long-term suitability assumes that future scope will create no additional cost.

To place both products' free scope side by side

Zoho CRM Free supports basic CRM functions for up to three users. In Free and trial editions, the daily sending limit equals confirmed users multiplied by 50. Free permits three confirmed users, so the shared total is 150 emails. They may divide the allowance or one user may consume it.

Free includes no custom modules, custom fields, or multiple currencies; multiple sales pipelines are also unavailable. Cadences and Workqueue start at Standard. Free has no daily detailed report export allowance. That allowance is 300 in Ultimate and 200 in other editions, making these measurable thresholds rather than generic labels.

No figure is given here for HubSpot's free user limit or free-tool coverage; check both on its pages at purchase time. Do not fill unverified gaps with estimates. Symmetric review means separating verified scope from unknown points for each product, rather than forcing unlike structures into matching headings.

One edition applies across the entire organization

Only one edition can apply within an organization. You cannot license one group in the same account at Standard and another at Enterprise. This matters even when one person needs an advanced capability. An upgrade is assessed across all user licenses and cannot remain confined to that person's requirement.

When budget is constrained, distinguish user types, not mixed editions. A team user license may replace a full user license and is available with every paid edition. User type and edition remain separate decisions. First identify the organization's required scope, then assign each person a user type within it.

A capacity plan based only on current headcount is incomplete. It should state which records, fields, and operations each role must access. One specialist needing advanced scope does not make mixed editions possible. Upgrading for that requirement changes the license level for everyone, making it an organization-wide decision.

To read module availability from the edition list

Campaigns, Leads, Contacts, Accounts, Deals, Products, Tasks, Calls, and Meetings appear in every edition. Price Books, Vendors, Quotes, Sales Orders, Purchase Orders, Invoices, Cases, and Solutions require Professional, Enterprise, or Ultimate. Services and Appointments share that scope but are disabled by default and require manual activation before organizational use.

Custom module capacity is 10 in Standard, 25 in Professional, 200 in Enterprise, and 500 in Ultimate. Custom field limits per module are 10, 155, 300, and 500 respectively. Free provides neither custom modules nor custom fields. These figures show how much room the data model retains as requirements expand.

File and image upload field limits are 2 in Standard, 5 in Professional, 10 in Enterprise, and 15 in Ultimate, with a 20 MB maximum per file. Removing a field from a layout does not restore capacity. It enters Unused Fields and consumes limit, so inventories must include it.

Compare automation through thresholds, not labels

Workflow rules use a closed action list, further restricted in Free. It cannot make a field mandatory, stop a save, block a stage transition, or move a record into a custom view. Criteria support 5 conditions in Standard and Professional, and 10 in Enterprise and Ultimate. Labels conceal differences.

The create-record action requires Professional or above and is limited to one per rule. A field update writes a fixed value, not a calculation. Calculation requires a formula field in Professional; a custom function requires Enterprise. Workflow loops stop after three executions. Similar requirements can carry different edition thresholds.

Schedules run only a function, operate no more frequently than daily, and are limited to 10 per organization; they require Enterprise. Blueprint begins with Professional. Counts are 3 in Professional, 20 in Enterprise, and 100 in Ultimate. Fields requested per transition are limited to 4, 10, and 50 respectively.

Verify reporting, dashboard, and access thresholds

Standard and Professional dashboards support Chart and KPI. Comparator, Anomaly Detector, Target Meter, Funnel, Cohort, Quadrant, Zone, and Stage require Enterprise or above, with at most 20 components per dashboard. Filters accept only User, Date, Date Time, and picklist fields, and operate only inside the Analytics tab.

A report page, scheduled report, and formatted export each display 2,000 records or rows. Detailed exports allow 50,000 rows; daily exports are capped at 50,000 records per organization. Reports combine only related modules and accept at most 5 parent modules. Zoho Analytics is separate and requires Basic or above.

A manager opens a report, then views it with a sales representative's profile. Rows for records the representative has never accessed remain listed. A report is not a privacy layer and may expose related fields. Field-level permission starts at Professional; territory management starts at Enterprise. Test a low-privilege profile.

An account uses one data center; region changes require migration. Some capabilities depend on it. Dashboard presentation creation is limited to US, AU, EU, IN, JP, and CN centers. Free stops at three users; Professional opens data and process thresholds; Enterprise opens advanced automation, access, and dashboard thresholds.

Do not derive HubSpot claims from Zoho documentation

Zoho help content does not define another product's object vocabulary or coverage. The HubSpot statements here come from a separate source and require verification in HubSpot official documentation at purchase time. Without that check, claims about user counts, free tools, screen behavior, or other mechanics would create unreliable symmetry in the table.

HubSpot custom objects are limited to Enterprise subscriptions and unavailable in Free, Starter, or Professional. The documented limits are 10 custom objects for an account with at least one Enterprise subscription and 500,000 records per object. Recheck those figures at purchase time; saying only that availability depends on the subscription obscures the real boundary.

HubSpot has no property type called lookup; relationships between objects use associations. On the Zoho side, relationships use lookup fields, while many-to-many relationships require multi-select lookup fields in Enterprise or above. These are not two names for one field type. Reliable decisions compare each requirement with its verified threshold.
