Zoho CRM

An empty field in a month-end report usually signals an undefined process, not careless data entry. If nobody has decided whether information belongs at first contact, after consultation, or during closure, the same gap will return. A clinic data audit should therefore identify the responsible role and completion moment for every field. Zoho CRM tools become useful only after those decisions are explicit.

A reliable approach separates two tasks: producing a shared audit list and preventing future omissions. A shared custom view and scheduled report support the first. Validation and layout rules help with the second, but they do not behave identically across every input channel. The audit remains necessary because it exposes uncovered channels, misleading activity dates, and records accumulating under default users.

Empty fields reveal process gaps

A clinic may omit source information during first contact, assume another field will be completed after consultation, or leave closure details without an owner after treatment. The common issue is not one employee's carelessness. The process has not established which role supplies the information, after which event, and during which operational step. An audit should locate those undefined moments.

Treating the resulting list as a scorecard of individual mistakes produces the wrong diagnosis. If one field is repeatedly empty for records from a particular channel, inspect that entry point. If it becomes empty after a specific stage, examine handover or closure ownership.

Build a shared audit view

Advanced filters are useful for quick investigation, but a saved filter belongs only to its creator and cannot be shared with the team. A common audit screen requires a custom view with sharing enabled. Text, number, date, and date-time criteria can test whether values are empty or populated. Zoho fills the view from matching records; the view triggers no notice, task, or assignment.

A view can contain 25 criteria rows. Its criteria may reach up to three related modules or subforms, three fields from each, three lookup fields, and five fields from a lookup field's module. The existence or absence of a related record can also qualify. This can list leads without a quotation. If the limits are reached, divide the audit into separate, clearly scoped views.

What an untouched record means

The four time filters are not interchangeable. Touched Records includes records updated during the selected period, including changes to related child records. Untouched Records returns records never updated. Record Action counts edits to the record's own fields only. Related Records Action looks only for updates to related child records. Changing a patient's quotation therefore marks the patient as touched without placing it under Record Action.

Each filter supports six scopes: user and system, user or system, by user, by system, only by user, and only by system. Last Activity Time captures field changes plus supported tasks, meetings, calls, emails, and notes. Last Modified Time covers field changes alone. Last Activity Time is supported only when Leads, Accounts, Contacts, or Deals is a primary or related report module.

Records always have an owner

A Zoho CRM record always belongs to one user, so searching for an empty owner does not produce the intended audit. When assignment cannot be completed, ownership follows a channel-specific default. Imports use the person initiating them, API operations use the token owner, and web forms use the rule creator. If that creator is inactive or deleted, ownership passes to the super administrator.

After a consultant left, their records were transferred. Three months later, those records remained in the same stage, unnoticed because their owner fields were populated and the transfer had refreshed activity time. This shows why an empty-owner search is insufficient. Exceeding Assignment Threshold also sends a record to the default assignee, where a maximum holding period can be configured. Administrators are emailed if that assignee becomes inactive or is deleted.

Track history before measuring stalled stages

A report does not independently calculate how long a record stayed in a stage. Duration analysis first requires history tracking on the relevant picklist, and only one picklist can be tracked per module. Duration then appears in a related list and can support filtering. The feature is unavailable in Tasks, Calls, and Meetings. Deleting the tracked field or disabling tracking permanently removes the accumulated history.

The Stage component classifies records as moved, moved with delay, waiting, or stalled according to an allowed duration. Each stage needs a threshold of at least one day. Records left on a deleted stage value appear under Unaccounted. The component is available in Enterprise and Ultimate. Because no edition threshold is stated for picklist history, confirm it in the organization before purchase and account for data loss after a downgrade.

Put the audit on a schedule

A one-time review is quickly forgotten. Report scheduling turns the audit into a daily, weekly, monthly, or yearly delivery. Recipients can receive an XLS attachment through email, Zoho Cliq, or Cisco Webex. A scheduled report carries no more than 2,000 records, and only a user with the Schedule report profile permission can configure it. Decide the recipients and review owner during setup.

Report pages and formatted exports are limited to 2,000 records, while a detailed export can contain 50,000 rows. The organization-wide daily ceiling is 50,000 records. The daily detailed-export allowance depends on edition: none in Free, up to 300 in Ultimate, and up to 200 in other editions, while formatted exports are unlimited. Scheduling distributes results; the view itself creates no alert, task, or ownership change.

Require completion at the right point

A validation rule can stop invalid input during manual record creation or editing, with either an error or an alert that permits continuation. One rule accepts up to ten primary conditions and five secondary conditions beneath each. To make a field conditionally mandatory on the page, use the layout rule action Set Mandatory Fields. Each layout can contain no more than ten layout rules.

At month end, half the source breakdown was empty. Most records had arrived through a web form that lacked the source field, so the CRM page requirement never applied. Validation rules do not cover imports, workflow field updates, approvals, Blueprint, or API updates. Layout rules do not run during imports, web forms, or conversion pages; API operations support only the mandatory-field action.

Limits of bulk correction

Once the audit list is ready, Mass Update can correct many records together, but it cannot update multiline text or lookup fields. Multi-select fields offer Overwrite and Append, with Overwrite as the default, so existing values require review before proceeding. A formula field can be updated in bulk only when one of its participating fields changes.

Mass Transfer moves records to another user and lets the operator choose which open activities move with them. Mass Update and Mass Transfer each require a separate module-level profile permission. Both operations affect Last Activity Time; on the record side, the audit log names mass update and mass delete among the bulk actions it captures. Function-based validation is limited to three rules per module in Enterprise and five in Ultimate. No edition threshold is provided for the other validation forms.

What the audit log sees

When a field is populated but the identity of its editor matters, inspect the audit log. It tracks record creation, updates, deletion, bulk operations, imports, exports, conversion, restoration, and duplicate merging. On the Setup side, it records creation, editing, and deletion for items including templates, workflows, webhooks, web forms, roles, profiles, and reports. It does not record who merely viewed a particular record.

The log is available under Security Control and can be exported as CSV; access follows the role hierarchy rather than a profile permission. An unfiltered export is limited to the latest three years or one million entries. With an entity, user, or action filter, the time filter cannot exceed 180 days. No retention duration is asserted.

Consolidated limits: Stage is Enterprise/Ultimate; function validation allows three rules per module in Enterprise and five in Ultimate. Report scheduling, Mass Update, and Mass Transfer require their profile permissions. Verify the unstated picklist-history edition threshold in the organization before quoting.
