Zoho CRM

A post-procedure satisfaction question is more than a courteous follow-up. It gives a clinic an opportunity to hear about the service experience promptly. When contact depends on one employee's memory, workload, leave, and shifting priorities can break the pattern. In Zoho, a dependable design begins by choosing the right record event and running a delayed action after it, rather than adding an arbitrary reminder.

A week after the procedure, the patient tells nobody what they thought because nobody asked. The clinic discovers the concern only when a sentence naming it appears on a review site. The loss is not merely late feedback. The team also misses its chance to begin the conversation within its own process. Consistent contact therefore needs a predefined, verifiable flow rather than whoever happens to be available.

Why satisfaction questions get missed

When daily workload rises, follow-up that does not look urgent is postponed first. Without a visible queue, a defined send point, and clear ownership, each employee may choose a different moment. Some patients are contacted early, others late, and some not at all. Management may then mistake silence for satisfaction, even though no dependable opportunity to answer was provided.

The underlying issue is often not indifference but dependence on personal memory. When someone takes leave or responsibilities change, the follow-up chain can break without becoming visible. Separate three decisions in writing: which record event starts the process, how long the delay is, and who reviews the response. That separation makes it easier to locate the point where contact was missed.

Use a record event, not a date trigger

A workflow rule accepts one trigger type, and that type cannot be changed later. Record actions include Create, Edit, Create or Edit, and Delete. For Edit, specific fields or sections can be identified. The documented date-field trigger is narrower: it names only Created Time, Modified Time, Last Activity Time, and Unsubscribed Time. That boundary rules out assuming support for another date field.

The dependable post-procedure approach is therefore a scheduled action following the appropriate record event. Zoho permits up to five scheduled actions per rule. Each can carry five email notifications, five tasks, five functions, and five webhooks; the documentation gives five field updates in one section and three in the field-update section, so that count is verified in the target account. Record creation is not available in that scheduled list. As an instant action, the documented limit is one record creation per rule.

Base the delay on working days

Scheduled actions run after the delay defined once the rule is triggered. Their timing and a workflow task's due date can account for working days and business hours, skipping days when the user does not work. Documentation conflicts about which sub-day intervals scheduled actions support. Do not promise a particular degree of timing precision until it has been checked in the live organization.

Business hours are defined under Setup, General, Company Settings, and Business hours. Shifts and holiday lists connect to that structure. An organization can create up to fifty shifts, and each shift can be linked to only one holiday list at a time. Before choosing the send day, confirm that business hours, shift arrangements, and holiday associations reflect the clinic's current working calendar.

What changes when the question becomes a survey

The Zoho Survey integration embeds a survey link in a CRM email template and adds the related survey list to modules that have an email field. A survey can be sent through an individual email, mass email, or workflow alert. Adding its link to a template requires Manage Email Templates permission. The integration also consumes one supported layout for the relevant CRM module.

If survey questions are mapped to CRM fields before sending, responses can be written through Update Record, Add Record, or Add/Update Record. Without prior mapping, the answer is not written to the field. The automatically added record identifier must remain intact or responses will not return. The related list shows the source, marks nonrespondents Yet to respond, and labels user-completed entries Taken by User.

What a negative response needs before assignment

A workflow does not read email content and independently classify a response as positive or negative. The answer to be evaluated must first reach a mapped CRM field. Zoho documents that once the mapped field is populated, workflow actions such as sending an alert, updating a field, assigning an owner, and running a custom function can be triggered; the same documentation also gives creating a support task on negative feedback as an example. The boundary that matters is this: the action comes from the value written into the field, not from the wording of the reply.

A general workflow task goes to the fixed user selected in the rule. If Assigned To is blank, it goes to the record owner. Documented ways to target a person held in a user field include separate rules, an Assign Owner action followed by blank Assigned To, or a custom function that creates the task. Which of those three routes the survey-response rule uses is settled before configuration begins.

Stop the sequence when a response arrives

Cadences can remove a record from its sequence after a reply and branch according to the preceding step's result. Email outcomes include Opened, Bounced, Replied, Clicked, Sent, and Unsubscribed. Task outcomes include Not Started, Deferred, In Progress, Completed, and Waiting for input. Call outcomes include Scheduled, Completed, Overdue, and Cancelled. This prevents an unchanged sequence from continuing after the recipient responds.

The Replied outcome requires separate email configuration. Replies are not captured when the sender address uses a generic domain. Test the sending address, reply-capture configuration, and sequence exit together instead of treating the ordered steps as sufficient. Cadences support in the Appointments module is undocumented, so a post-procedure design that depends on an appointment record should not be assumed to work there.

For mass email, the product provides an unsubscribe link, an automatically added List-Unsubscribe header, and the Email Opt Out field. That field can be marked through four paths, and the change may take at least an hour. If it is cleared, the address is treated as subscribed again across all records. These behaviors should be assessed separately from the satisfaction trigger and survey mapping.

Zoho leaves assessment of mass-email content to the laws in the sender's country, while its documentation supplies no conclusion about Turkish legislation. Workflow has limited actions in Free and full actions in paid editions. Record creation requires Professional or above, Cadences Standard or above, and custom functions Enterprise or above. Survey needs an active plan; Free reporting is restricted, while CRM layout support begins with Standard.

Final checks for the satisfaction flow

Before rollout, verify the trigger record, sending delay, working calendar, survey mapping, and identifier carried in the link. Then use test records to observe the response field, source shown in the related list, reply-capture setup, and intended assignee. Sub-day precision for scheduled actions remains unresolved in the documentation and needs confirmation in the organization's actual configuration.

The intended scene is clear: one question reaches the inbox on the seventh morning; when the answer is negative, a new row appears in the manager's task list that day, and the conversation starts before the patient calls. That scene depends on the reply being written into a mapped field and on the rule reading that field; without the mapping, it never starts. Deliver the configuration as two lists: behaviour confirmed by documentation, and acceptance items that must be observed in the live organization. Every item on the second list is run in the target account before a proposal, and its result is recorded in writing.
