A contract goes out by email, the other party prints it, signs it, scans it and sends it back. Meanwhile nobody knows which document is waiting with whom, and the signed copy ends up as an email attachment. Zoho Sign writes every step to the audit trail, from sending to viewing to signing, and produces a certificate of completion when the process is done.
During setup we configure approval steps and signer verification by document type, and set up sending from a Zoho CRM record with the signature status tracked on that record. Which signing method is sufficient for which document is a legal assessment; you make that call together with your legal counsel.
Signer verification
Before opening the document, the signer verifies with a one-time code sent to their email. Sending the code by SMS is available from the Standard edition and uses Zoho Sign credits.
Approval step
Before the document reaches the other party, it goes through a manager approval; the approver can approve or reject it (Standard edition and above).
Automatic field placement
Formatted text tags in the document turn into signer fields when it is uploaded, so the same document does not have to be prepared by hand each time.
In-person signing
When the customer is in front of you, the document is signed on a laptop or mobile device (Enterprise).
SignForms
A form to be signed is published through a public link; each response opens a separate signing envelope (Enterprise, uses credits).
Cloud storage
Documents are picked from Zoho WorkDrive, Google Drive, OneDrive, Dropbox or Box; if you use WorkDrive, the signed copy is uploaded back to the same place.
Human resources
Job offers and onboarding paperwork go to candidates for signature from within Zoho Recruit. New employees sign company policies through Zoho People.
Education institution
The enrollment form is filled in with Zoho Forms, the responses are mapped to a Zoho Sign template, and the enrollment contract goes to the parent for signature (Sign Professional and above).
Sales team sending quotes
A quote is filled from a template in Zoho CRM with the customer's details and sent for signature; its status is tracked in the Zoho Sign list on the record. In companies using Zoho Books, the customer signs the quote while accepting it in the portal (Books Premium and above).
